Knowledge Repositories

Written by Richard Lombos

Knowledge Repositories can be the "brain" of your practice bots. By uploading specific documentation—like product guides, sales playbooks, or technical specs—you provide the AI with a grounded source of truth to generate more accurate, context-aware prompts and scenarios.

1. Managing Your Repositories

To get started, navigate to the Knowledge section under Organization setup in the left-hand sidebar.

  • Creating a Repository: Click the pink + Add Repository button in the top right. Name it something recognizable (e.g., "Product Launch 2026" or "Sales playbook").

  • Uploading Documents:

    • 1. Click the dropdown arrow on your desired repository.

    • 2. Select Add files to upload your PDFs.

    • 3. Status Tracking: Once uploaded, files will show as In Queue or Pending. The AI is currently indexing the text. Once finished, you’ll see a green Files processed badge.

2. Connecting a Repository to a Bot

Once your repository is ready, you need to "tether" it to a specific practice bot.

  1. Go to the Bot builder in the left-hand menu.

  2. Select an existing bot or click + Create new.

  3. Navigate to the Configuration tab.

  4. Find the section labeled "Select knowledge you'd like to reference for the practice."

  5. Click Select repository and choose the folder you just created.

[!TIP] Connecting a repository ensures that when the AI builds the bot’s conversation flow, it uses your specific data rather than general knowledge.

3. Testing the AI’s Knowledge

Before going live, you can verify that the bot is actually "reading" your documents.

  • Switch to the Create tab within the Bot builder.

  • Use the chat interface to ask the AI directly: "What documents do you have access to?" or "Summarize the key points from the uploaded PDF."

  • If the AI lists your file names or correctly references the content, your repository is successfully integrated.
